The Documentation Specialist is responsible for managing all documents for trade claims and accounts receivable, ensuring that all documents from various sources are captured and maintained in Dannon Systems. This includes obtaining documentation for assigned customers, researching unknown payments from customers, ensuring automated processes are functioning properly and managing shared email boxes as well as mailed documentation. This position will be based in our Broomfield, CO location and is a dynamic role where you can leverage your customer service skill set and intellectual curiosity to help a growing business. 


Responsibilities include:
• Manage the collection of all documents from various sources and import into trade management tool
• Monitor and escalate issues with automated processes within the trade management tool
• Change customer behavior to improve documentation quality and timeliness
• Index documents to create transactions in trade management tool, including item capture for specific customers
• Sort and scan mail and ensure sent to trade management tool to be indexed
• Manage document retention requirements for mailed documentation
• Manage email rules/forwarding for documents to be sent to trade management tool
• Research Unknown payments from customers and determine next steps
• Manage all new transactions in trade management tool - including monitoring and manually merging transactions as needed, identifying deductions with no documentation and obtaining
• Establish positive cross-functional relationships to respond to the needs of the business and the customer
• Get involved when process improvement opportunities arise
• Meet stated financial goals and objectives

About you

• You will have a Bachelor's Degree or 3 years of related work experience preferred
• You have intermediate/Advanced Microsoft Excel skills
• You have strong communication and customer service skills
• You have the ability to multi-task in a fast paced environment
• You have accounts receivable and collections (preferred)
• You must possess strong analytical and organizational skills
• You have the ability to interact and communicate with all levels in a matrix organization
• You encourage cross functional collaboration and effectiveness
• You excel in both oral and written communication skills, able to tell stories with data
• You have SAP, HighRadius, CAS experience (preferred)
• You have expertise in process improvement
• You have strong problem solving skills
