About the job

Our North America Communications team plays a critical role in the articulation of our “One Planet. One Health” company vision, and the activation of our corporate mission and purpose both within and outside of Danone. We create and execute moments – both online and in-person – that engage our internal and external stakeholders and advance our company narrative. These moments include: company announcements; major company events, such as regular Town Hall meetings; flagship culture-building events such as our annual Danone Day celebration; select executive media opportunities and events; online engagement on external and internal social and digital channels; and ad hoc communications opportunities that arise during the normal course of business.

We are currently looking to hire a Specialist, Communications Team Support to assist the team with project/events management, logistical and administrative elements of our communications strategy and execution. The role will report to the Director, Corporate Communications and is based in White Plains, NY.

The successful candidate will demonstrate strong organizational skills and attention to detail, great teamwork, the ability to creatively problem-solve, and a positive, can-do attitude. The ideal candidate is results-oriented, excels in a fast-paced environment, and enjoys multi-tasking with minimal supervision.

In this role, you will support the communications team in three main areas:

  • Partner with cross-functional internal teams to manage the logistics for online and in-person hybrid employee events (~4-6 per year), including regular town halls and employee meetings.
  • Play a lead role in managing logistics for these major in-person internal company events, including Danone Day, our annual all-company celebration, connecting the dots across multiple functions, and engaging with external vendors and agency partners, as needed.
  • Lead on logistics and administrative support for 2-3 major external company events per year, such as Fast Company Innovation Festival.
  • Engage with senior leaders to ensure their comfort with planning and logistics.
  • Partner with Office Managers across Danone HQ locations in preparation for major company events, ensuring roles and responsibilities are clear.

General support for communications moments

  • Organize product and product mock-ups for company internal events and external stakeholder engagement moments, ensuring our company brands are appropriately represented.
  • Provide support to Communications team in preparing for internal video shoots, e.g. liaising with video crew, preparing space to film, etc.

Administration support

  • Manage the Corporate Communications budget, including the administrative Purchase Order and invoicing process, to ensure vendors are onboarded and paid in a timely way, and the budget is up-to-date and balanced.
  • Manage budgets for internal company events, ensuring they are appropriately planned and delivered within budget.
  • Support the SVP, Corporate Affairs, with calendar management, travel and expense needs.
  • Provide the Communications team with general administrative support, where possible, including, but not limited to:
    • Submitting draft communications for translation
    • Formatting draft communications into our company format / style and sending employee communications
    • Uploading social posts to our external company social channels and internal channels (Workplace)
    • Managing our subscriptions database
    • Checking distribution lists
    • Managing in-bound ad hoc requests for the Communications team (e.g. Providing direction on where to find core materials / images)
    • Supporting with logistics for in-person team meetings (organizing meeting rooms, organizing lunch)
  • If time permits, support the Communications leadership team (3 people) with any travel and expenses needs.

About you

  • You will have a Bachelor’s degree
  • You will 5+ years of experience in project management, administration, logistics and events (either in-house or agency setting)
  • You will be organized and motivated; have superior attention to detail and time management, with the ability to successfully manage multiple projects simultaneously with minimal supervision
  • You will have strong written and verbal communications skills
