The Facility Coordinator is responsible for overseeing day‑to‑day office administration and soft facility management services across the DBS APAC. The incumbent will serve as a key liaison between internal stakeholders, external service providers, and building management, while also providing centralized secretarial and administrative support to senior management.
MAIN RESPONSIBILITIES
Office Administration & Facility Management
Manage and support DBS APAC administrative matters, ensuring a conducive, well‑managed, and compliant work environment.
Maintain and continuously improve office policies and procedures to enhance workflow efficiency and productivity.
Act as the primary point of contact with soft service vendors (e.g. cleaning, security, pantry, reception, office services), contractors, and building management to resolve facility-related issues promptly and effectively.
Monitor and manage office administration and facility budgets, ensuring cost‑effective solutions without compromising service quality.
Coordinate logistical support such as business travel, accommodation, meetings, conferences, and travel arrangements.
Promote and continuously reinforce local and global safety and health guidelines, in alignment with DBS APAC Safety & Health Committee requirements.
Oversee general office administration, including procurement and management of office and pantry supplies, maintenance of office equipment and invoice verification and processing
Ensure office security protocols are adhered to, including access control and reception desk procedures.
Perform additional duties or responsibilities as assigned by the Line Manager.
Procurement / PO / Vendor Management:
Manage Purchase Requisition (PR) generation, vendor registration, and goods receipt / delivery order documentation.
Coordinate and oversee soft facility services contracts, monitoring vendor performance to ensure compliance with Service Level Agreements (SLAs).
Build and maintain effective vendor relationships to ensure consistent service delivery and continuous improvement.
Centralized Secretarial Support
Provide comprehensive administrative and secretarial support to Directors, including calendar management, meeting coordination, and travel arrangements.
Handle confidential and sensitive information with a high level of discretion and professionalism.
Act as a liaison between Directors and internal/external stakeholders, ensuring clear communication, timely follow‑ups, and effective action tracking.
Über Dich
At least Diploma or Degree in Business Administration / Management, or a related field
Experience: at least 3 years in administrative and facility management support experience with exposure secretary support.
Dedicated, innovative, resourceful, team player and able to work under pressure
Foster an efficient, innovative and team-oriented work environment
Mature and people oriented.
Good command of both spoken and written English; proficiency in Mandarin is an added advantage.
Proficiency in Microsoft Office, especially with MS Excel & Power Point
