Join our HR Administration Team supporting the Dutch market!
As an HR Administration Specialist, you will play a key role in ensuring smooth and compliant HR processes across the full employee lifecycle. You will work in a highly collaborative and international environment, supporting both office and factory populations across 11 entities in the Netherlands.

 

In this role, you will be responsible for preparing employment documentation, managing employee data changes, supporting payroll processes and ensuring excellent administrative service delivery. You will work closely with HR Business Partners, Payroll, Managers and other stakeholders, making sure all employee information is accurate, timely and compliant.

 

You will also contribute to continuous improvements and operational excellence within HR processes, supporting our mission to deliver high‑quality, employee‑centric services.

 

Key responsibilities

  • Prepare and manage HR documents related to hiring, re‑hiring, employment changes, and voluntary/involuntary terminations.
  • Create offer letters and coordinate onboarding for new employees.
  • Process salary corrections, off‑cycle salary adjustments and review payroll inputs.
  • Calculate and validate Actual STI (Short‑Term Incentive) payouts for office employees.
  • Manage statutory salary increases.
  • Create contracts and employment-related documents based on provided inputs.
  • Coordinate document signatures when required.
  • Distribute ASR letters to HR/Team Leaders and implement approved changes in payroll.
  • Manage document archiving and maintain accurate records in payroll systems.
  • Support operational tasks within systems such as ADP, Protime and ServiceNow.

Über Dich

We are looking for a detail‑oriented, structured and service‑focused HR professional with strong administrative and organisational skills. Someone who enjoys working in a dynamic, international environment and who brings both accuracy and a positive attitude to daily work.

What you bring:

  • Strong understanding of HR administration processes and payroll fundamentals.
  • Previous experience in HR admin; payroll knowledge is a strong advantage.
  • Ability to operate in a complex, highly matrixed organisation.
  • Strong time‑management skills and the ability to prioritise in a high‑volume environment.
  • High accuracy and attention to detail when working with HR documents.
  • Service‑oriented mindset with a focus on providing excellent employee experience.
  • Fluency in Dutch (minimum B2) – required due to documentation and communication with factory employees.
  • Working proficiency in English.
