About the job

This role is only for candidates who are already residing in the Netherlands. Relocation or remote working are not possible.

 

 

Nutricia Research Centre for Specialized Nutrition, located in the Utrecht Science Park in the Netherlands is a state-of-the-art Life Science innovation center for the development of new product concepts for Specialized Nutrition. We create formulas that provide clinically substantiated health benefits to vulnerable consumers – infants, toddlers, elderly and patients.

 

For the Research and Innovation (R&I)- Specialized Nutrition (SN R&I) we are looking for a Management Assistant.

 

 

 

Main Responsibilities:

  • Executive Support: Provide excellent service by performing a range of support, administrative, and secretarial tasks independently.
  • Calendar Management: Manage multiple, complex calendars for (inter)national Directors; arrange conference calls, Teams, and videoconferences for large/team meetings.
  • Travel Management: Support travel arrangements for Directors where needed (simple bookings they can do themselves, complex or events always via Management Assistant).
  • Meetings and Events Coordination: Send invitations, select locations, make reservations for rooms and catering; distribute required documents to participants/invitees.
  • Communication with Stakeholders: Facilitate communication and administration with internal and external stakeholders.
  • Purchasing Process Management: Prepare, track, and maintain POs for Directors and set up new vendors if required.
  • Office Management: Update organization charts, contact lists, and birthday calendars for the wider team; plan introduction meetings for new colleagues, arrange gifts/flowers, etc.; compile PowerPoint presentations and prepare Excel analysis.
  • Administration: Handle expenses, holidays, signatures for contracts and legal documentation; support with expat-related requirements for Directors if needed.
  • Document Management: Provide historical reference by developing and utilizing filing and retrieval systems.
  • Function Dependent Support: Provide event support for teambuilding sessions, workshops, symposia, and advisory board meetings.
  • Operational Support: Stand in for other management assistants when necessary.

About you

As an ideal candidate for the Management Assistant role, you are a highly organized and proactive professional with a strong ability to manage multiple tasks and priorities. You thrive in a fast-paced environment and are adept at providing high-level support to senior executives. Your excellent communication skills and attention to detail ensure that you can effectively handle a wide range of responsibilities.

 

Education & Experience:

  • Education: Professional qualification.
  • Experience: Minimum of 5 years in a similar position.
