In this role, you will play a central part in ensuring the smooth operation of the office and supporting the employee experience across the organization. You will work closely with internal teams and external partners to maintain a professional and efficient work environment while contributing to people engagement & administrative support.
This is a full time & on-site position, and you will be based in our Solna office. We aim to hire as soon as possible.
Key responsibilities include:
Ensuring a safe, clean, and professional office environment
Supporting the office renovation project and transition to the new workspace
Coordinating meetings, internal events, and employee engagement activities
Managing office supplies, deliveries, and invoice administration
Serving as the primary point of contact for landlords and service providers
Assisting with employee onboarding and offboarding processes
Supporting compliance with workplace health and safety requirements
Owner of Office budget
Managing administrative tasks related to company cars
We're looking for someone who brings more than just experience to the table—you’re someone who thrives in a structured environment, enjoys supporting others, and takes pride in creating a smooth, welcoming workplace.
2+ years of experience in office/facilities management, reception, hotel, service or other administration roles; for example as Office Coordinator, Receptionist, Executive assistant, HR Assistant or similar.
You’re highly organized, communicate clearly, and know how to manage your time and priorities effectively. What truly sets you apart is your strong sense of service. You're someone who anticipates needs, enjoys helping others succeed, and approaches every task—big or small—with a professional, people-focused attitude. You’re comfortable with MS Office tools, fluent in Swedish and English skills. Experience with Coupa & Kofax systems is a big plus.
