Purpose of position: The main responsibility of this position is supporting the D2D, R&I and Finance Vice-Presidents, thus helping them in their day-to-day activities to drive sustainable profitable growth for the company.

More specifically :

  • Responsible for managing the agenda of the Vice-Presidents so that it is extremely organized, properly planned, and serves as a source of detailed information.
  • Responsible for managing the expense reports of each VP in a timely manner
  • Responsible for all travel arrangements of each VP (flights, hotels, transfers etc)
  • Coordinates logistics details for various leadership meetings and off-sites.
  • Responsible for the logistic of the monthly team meetings.
  • Responsible for updating the different team’s information such as email list, birthdays, years of service in all our systems
  • Responsible for managing and updating the function’s budget
  • Responsible for managing departments PO’s
  • Along with other members of the AST team, participates in the organization of special events as well as special projects with cross-functional teams.
  • Respond to any adhoc request from teams, which will be necessary to the good functioning of the daily activities. 
  • Responsible for UPS invoicing for R&I: this involves keeping track of every expense and associating it to the proper project, resulting in a government subsidy at the end of each year.
  • Responsible for providing administrative support to Plant Director as well as Quality Director on occasion.

Core Skills for Role Success:

  • Possess and maintain a high level of expertise in administration for VPs, preferable within the CPG industry
  • Minimum 5 years of relevant experience
  • Collaborative, professional and resourceful mindset and attitude; dealing with high ranked people both inside and outside Danone
  • Ability to navigate in a fast-paced, deadline-driven and ever-changing environment
  • Ability to use the following systems:
    • OneBuy
    • Concur (travel tool)
    • Microsoft Suite (including Teams, OneNote, Outlook, etc.)
    • Docu-sign
  • Ability to operate in a hybrid work environment
  • Bilingualism in English and French: Perfect mastery of both languages, both spoken and written, to ensure smooth communication with internal and external stakeholders.
