ABOUT THE JOB

You will be the first point of contact for all visitors at our Balclutha manufacturing site. Your role is to provide excellent customer service and support to staff, contractors, and visitors. This includes preparing Wise Inductions, creating access cards, providing PPE, assisting with logistics (such as taxis), and answering and directing incoming telephone calls, while welcoming and announcing visitors. You will assist with site and security-related queries (e.g., issuing swipe cards), manage incoming and outgoing mail, courier, fruit, milk, water, and consumables deliveries, and maintain and update relevant internal documentation (e.g., phone and address lists). You will also attend to invoices, create and receive purchase orders, and support the HR team with administration, communications, and the roll-out of benefits onsite. Assisting with checks and audits to ensure cleaning is carried out to an expected standard.

 

You will;

  • Issue and maintain swipe card access for employees, visitors, and contractors.
  • Manage incoming and outgoing mail, couriers, and deliveries (fruit, milk, water, consumables).
  • Maintain office and kitchen supplies, ordering as needed.
  • Support the HR team with admin tasks and communications.
  • Compile new starter and parental leave toolkits and policy booklets.
  • Manage employee benefits (e.g. Long Service Awards, Champion Awards, Flu Jabs, Health Insurance).
  • Assist with recruitment (phone screening, booking interviews, pre-employment checks).
  • Create, maintain, and receive purchase orders for reception and site consumables.
  • Organise catering for events and support event setup.
  • Ensure all documentation is accurate and up to date.

This vacancy is a permanent part-time position, working Monday - Friday, 8 am - 1:30 pm (minimum guaranteed 27.5 hours per week).

About you

ABOUT YOU

To be successful in this role, you will have:

  • Experience in a similar administration or reception role.
  • Friendly, professional manner and good personal presentation.
  • Positive attitude and willingness to assist staff, visitors, and contractors.
  • Able to communicate clearly and effectively, both verbally and in writing.
  • Strong organisational skills, accuracy, and attention to detail.
  • Able to work well under pressure and prioritise tasks.
  • Comfortable working independently and as part of a team.
  • Results-oriented, with the ability to manage multiple responsibilities.
  • Proficient computer skills, particularly in Microsoft Word, Excel, PowerPoint, and Outlook, with experience in Visio and SAP considered a valuable bonus.
  • NCEA Level 3 or equivalent; business administration qualifications desirable.
  • A strong interest or prior experience in HR administration would be a distinct advantage.
