Nutricia North America is seeking a motivated and detailed oriented professional to join our team. The Executive Assistant “EA” is a trusted partner to multiple Vice Presidents, providing proactive, high‑impact support that enables leaders to operate at their best. This role combines advanced executive support with project ownership - anticipating needs, driving operational excellence, and ensuring leaders are prepared, aligned, and focused on strategic priorities.

The EA will manage a wide range of advanced administrative and executive support-related tasks, will be able to work independently within guidelines, and will make independent decisions regarding planning, organizing, and scheduling work. The ability to interact with senior leaders (at all levels) in a fast-paced environment, while remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Excellent written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.
Key Responsibilities
As a key member of our team, you will play an important role in driving our mission forward. The following responsibilities outline the core expectations and contributions for this position:
• Executive & Administrative Partnership: Provide executive administrative, coordination, and project support to senior leaders, exercising sound judgment to manage priorities, correspondence, and workflows.
• Calendar, Travel & Expense Management: Manage complex calendars with full ownership of end‑to‑end scheduling, domestic and international travel logistics, and timely, accurate expense reporting in compliance with company policies.
• Meetings, Events & Programs: Coordinate functional meetings, events, and programs, including logistics, agendas, communications, vendor coordination, budget oversight, and post meeting follow up.
• Executive Representation & Communications: Serve as a trusted extension of leaders, aligning cross-team inputs to deliver high quality executive communications and presentations for key forums, including Town Halls, AOP, and customer meetings.
• Onboarding, Vendors & Operations: Support onboarding of new team members and third-party vendors, including management of contracts, purchase orders, invoices, and payments.
• Financial and Budget Management: Support planning, monitoring, and reconciliation of third-party, T&E, and departmental spending, ensuring fiscal accuracy and alignment with business priorities.
• Information, Projects & Flexibility: Ensure leaders have timely, accurate information to drive decisions; lead or support special projects; provide backup support as needed while upholding professionalism and confidentiality.
The salary range for this position is $75,000– $90,000 USD. The exact salary offered will depend on several factors, including the candidate’s relevant experience, geographic location, internal equity, and market conditions. Education & Experience
• Education: Associate degree preferred
• Experience: Minimum 7 years relevant experience required, with proven extensive experience providing executive administrative support to senior leaders (VP, SVP, or C‑suite).
• Systems & Software: Advanced proficiency in Microsoft 365 tools (Outlook, Teams, PowerPoint, Excel, Word) required. Knowledge of SAP, Concur, and OneBuy as a plus.
• Project Management: Strong project and stakeholder management skills
• Communication Skills: Excellent written and verbal communication skills with the ability to engage senior stakeholders effectively
• Performance: Consistent demonstration of satisfactory performance if currently employed
