As the Executive Assistant, you will support the VP Quality & Food Safety Specialized Nutrition (SN QFS). This role requires autonomy, discretion, and a proactive mindset to manage a wide range of responsibilities in a fast-paced, international environment, across multiple time-zones.

Key Responsibilities:

• Full ownership of calendar management (Outlook).
• Coordination of complex travel arrangements (domestic and international), including visa applications, end to end logistics.
• Monthly expense reporting via Concur.
• Daily office management (supplies, logistics, IT coordination).
• Administrative support and coordination including vendor and supplier management and PO tracking via OneBuy.
• Acting as a point of contact for internal and external stakeholders.
• Support in organizing workshops, team meetings, and strategic events.
• Assistance with travel and logistics when required.
• Support in preparing materials, projects and coordinating follow-ups.
• Lead or co-lead the organization of seminars and offsites.
• Engagement of the full function by animating the community of SN QFS.

• Fluent in English (spoken and written).
• Highly organized, detail-oriented, and discreet.
• Proven track-record in proactivity and end to end view.
• Proficient in Microsoft Office Suite.
• Strong interpersonal skills across all levels of the organization.
• Service-oriented, proactive, and adaptable.
• Excellent presentation and communication skills.
• Positive mindset and ability to take initiative.
• Resilient.
