As an HR Admin and Facilities Supervisor , you will support daily office operations, manage logistics and supplies, coordinate travel and events, and handle vendor and building management communications. You’ll also assist with procurement, audits, and maintaining a smooth and efficient work environment.

About you

Key Responsibilities:

  • Coordinate and manage all aspects of business travel, including bookings, visa issuance, transportation, and accommodation.
  • Liaise with internal departments (e.g., IT, C&P) to ensure smooth operations and cross-functional support.
  • Assign and oversee tasks for support staff, including drivers, cleaners, and security personnel.
  • Manage procurement and inventory of office supplies, including consumables, stationery, and medical items.
  • Ensure office efficiency through proactive planning and execution of maintenance activities.
  • Serve as the primary point of contact for office vendors and service providers.
  • Create and manage shipments through  courier platforms.
  • Raise purchase orders for office-related services and HR team requests.
  • Support visitors by providing information, making hotel and travel arrangements, and coordinating external activities and events.
  • Act as the main liaison with building management for maintenance, repairs, and permit approvals.
  • Prepare and process office rent invoices and payments.
  • Lead general and office maintenance efforts, including pest control and fire safety inspections.
  • Assist in organizing internal events such as town halls, Danone Day, and management conventions.
  • Coordinate preparations for audits and official visits.

Qualifications:

  • Bachelor’s degree in a relevant field, preferably Business Administration.
  •  1–3 years in facilities or office management.
  • Leadership and team coordination
  • Critical thinking and problem-solving
  • Effective collaboration and stakeholder management
  • Initiative and follow-through
  • Strong time management and organizational skills
  • Excellent verbal and written communication in English
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
