ABOUT THE JOB

 

Danone’s Specialised Nutrition division (Nutricia) is a recognised leader in delivering innovative nutritional solutions to support patients in both hospital and home care settings. We are currently seeking a Junior Administration Coordinator to join our dedicated Pumps team based in Sydney. This is a 12-month fixed-term hybrid role, with the potential for extension, supporting operations across the ANZ region.

 

Reporting to the Team Leader-Pumps, this role is responsible for coordinating and executing the end-to-end management of INF II Flocare feeding pumps and related stock. A key focus will be the development of a new database and traceability model to enhance operational efficiency and compliance.

 

Key responsibilities include

  • Coordinate the management, distribution, and maintenance of INF II Flocare feeding pumps and related stock across ANZ.
  • Ensure accurate stock traceability and reporting, including stock on hand, supply, and service reports.
  • Oversee pump logistics including movements, redirects, and service coordination with local service centres and hospitals/facilities.
  • Manage hospital/facility audits, service swap-outs, and retrievals on a 2-year cycle.
  • Maintain accurate internal records and databases, including pump movements, service dates, loan agreements, and supply forms.
  • Coordinate retrievals and service reporting for HEN pumps, including outbound communications and SMS alerts.
  • Manage documentation and account creation processes to support accurate distribution records.
  • Liaise with third-party distributors for purchase orders, order fulfillment, and record accuracy.
  • Collaborate with internal stakeholders to support business KPIs and maintain departmental records.

About you

You are a detail-oriented and proactive professional with a background in customer service, administration, or reception—ideally within a patient-focused or healthcare setting. Known for your collaborative approach and strong communication skills, you thrive in dynamic environments and bring a positive, solutions-focused mindset to every task.

 

Key qualifications and attributes include:

  • Experience in administrative or customer-facing roles, preferably in healthcare or patient services
  • Familiarity with ERP and CRM systems, with SAP and Salesforce highly regarded
  • Proficiency in Microsoft Office, particularly Excel, is essential
  • Strong written and verbal communication skills in English
  • High attention to detail and the ability to manage competing priorities in a dynamic environment
  • A professional, service-oriented approach with strong stakeholder engagement skills
