As a Commercial Management Assistant, you will play a crucial role in supporting our topline team and assisting with various Benelux events.
Your responsibilities will include:
Agenda Management: Efficiently managing agendas and planning 1:1 and group meetings.
Ad Hoc Planning: Handling the ad hoc planning of small meetings and tasks throughout the day.
Meeting Preparation: Creating and distributing agenda topics for meetings.
Travel Arrangements: Managing travel arrangements and hotel bookings.
Expense Declarations & PO Management: Handling declarations for meals, restaurants, and hotels via Concur, and managing PO for large events, CODI members and more.
DocuSign: Acting as an intermediary for signing documents.
OneDrive Management: Co-owning the OneDrive folder and ensuring it is well-organized.
Event Organization: Organizing Townhall meetings and large conferences.
Event Involvement: Participating in commercial events and projects such as Olympics, KAA Gent, and Club Brugge.

About you

Strong Organizational Skills: Ability to manage multiple tasks and priorities efficiently.
Excellent Communication Skills: Proficiency in creating and distributing meeting agendas and acting as a liaison for document signing.
Attention to Detail: Meticulous in handling travel arrangements, expense declarations, and document management.
Tech-Savvy: Comfortable using tools like Concur and DocuSign, and managing OneDrive folders.
Event Planning Experience: Experience in organizing meetings, conferences, and commercial events.
Team Player: Ability to work collaboratively with the topline team and support various projects.
Flexibility: Willingness to handle ad hoc tasks and adapt to changing priorities.
