Nutricia North America is seeking a detail-oriented and dependable Vendor Operations Coordinator to support vendor management and purchase order (PO) operations across the organization. This role plays a critical part in ensuring compliant vendor onboarding, accurate PO creation, timely invoice processing, and effective resolution of billing and payment issues through close coordination with internal finance and accounting teams.

 

Key Responsibilities

 

As a key member of our team, you will play an important role in driving our mission forward. The following responsibilities outline the core expectations and contributions for this position:

 

  • Purchase Order & Indirect Spend Management: Own the end-to-end purchase order lifecycle for indirect spend, ensuring POs are timely created by cross functional PO owners and actively managed in OneBuy, goods receipts (GRs) are processed timely, and invoices are accurately paid. Maintain complete documentation and ensure all transactions meet internal policy and compliance standards.
  • Vendor Invoicing, Compliance & Performance Animation: Serve as the primary business unit point of contact for vendor invoicing, coordinating with vendors to ensure POs are in place before work begins and supporting vendor onboarding and ongoing management. Review and monitor transaction reports with the AP team (AP), identify pending or non-compliant items, support issue resolution, and close the loop with the AP   team in alignment with company internal process requirements for this control
  • Invoice Processing, Issue Resolution & KPIs: Partner closely with Finance and Accounting to support invoice processing, resolve billing and payment issues, and ensure timely vendor payments. Monitor established KPIs, review performance drivers, and actively engage internal stakeholders to drive continuous improvement.
  • Training, Tools & Process Evolution: Provide training and ongoing support to PO processors and business stakeholders. Manage PO trackers and tools to ensure data accuracy and smooth workflows and support the business through vendor system and process evolutions as needed—ensuring all activities to contribute to meeting internal standards.

Compensation & Benefits

 

The salary range for this position is $64,000-$75,000 USD. The exact salary offered will depend on several factors, including the candidate’s relevant experience, geographic location, internal equity, and market conditions.  Nutricia North America additionally offers a performance-based bonus and has a strong benefits package including Medical, Dental, Vision, Prescription Drug Coverage, 401k Plan, Wellness Program, Life Insurance, Tuition Reimbursement, Flexible Time Off, and Paid Parental Bonding Leave, among other benefit plan options.

 

This role is considered a “hybrid” position that allows for flexible work, meaning it is a role where collaboration with key stakeholders in Danone Hubs occurs. While you may have the option to work from home on a schedule as agreed to with your supervisor, you are also expected to regularly report to your assigned office location at least 3 days per week.

The ideal candidate will bring a combination of education, experience, and skills that enable them to excel in this position. The following qualifications outline what we’re looking for, including both required and preferred criteria:

 

Education & Experience

  • Education: Bachelor’s degree in Business Administration, Finance, Accounting, Operations, or a related field preferred, or equivalent practical experience.
  • Experience: Minimum 2–4 years of experience in vendor management, payment reconciliation, or accounts payable with proven coaching and ability to challenge. Prior experience training or supporting peers in operational processes highly recommended.
  • Systems & Software: Advanced proficiency in Microsoft 365 tools (Outlook, Teams, PowerPoint, Excel, Word) required. Good knowledge of SAP,  and OneBuy preferred. Need to be able to adapt to vendor payment systems.
  • Communication Skills: Excellent written and verbal communication skills with the ability to engage internal and external stakeholders effectively. Experience supporting cross-functional teams and working with external vendors is required..
  • Performance: Consistent demonstration of satisfactory performance if currently employed

 

Knowledge, Skills & Abilities

  • Procure‑to‑Pay Expertise: Working knowledge of purchase order, invoicing, and accounts payable processes.
  • Execution & Attention to Detail: Highly accurate, detail oriented, and able to manage multiple transactions simultaneously.
  • Organization & Systems: Strong documentation and organizational skills; proficient in PO systems, invoice tracking tools, and Microsoft Office (Excel, Outlook).
  • Communication & Partnership: Clear, professional communicator who partners effectively with vendors and internal stakeholders. Ability to challenge stakeholders based on data analysis. \
  • Problem Solving & Integrity: Proactive, solutions focused approach with a high standard of integrity, confidentiality, and accountability.
