To provide HR administrative support and coordinate relevant processes for the human resources department. The role assists in a wide variety of tasks that include coordinating and consolidating activities for all new joiners, movers and leavers as well as assisting employees with day to day queries.
KEY AREAS OF RESPONSIBILITY
• Be a single point of contact in coordination and actioning the take on process from start to end for new employees joining Danone (including Permanent employees, Temps, Fixed term contractors, Expats, Dan Affiliates):
- Draft letters of employment/contacts and estimate dummy payslips and send to/liaise with new hires.
- Send all take on documentation for completion to new hire. Coordinate and consolidate these + supporting documents and process accordingly.
- Send online CTC Modeler to new hire and guide them on the various fields to complete. Refer them to relevant SME’s where required ito questions asked. Need to be discussed with Folake I don’t agree
- Arrange Entry medicals and coordinate site access etc. required by liaising with the various departments involved.
- Liaise with the Talent team with regards to confirm new hires are included in induction.
- Facilitate logistical onboarding (CLIO calls, Share Danone IDs + onboarding forms) and send details to line manager to log system / specific access calls.
- Engage with Line manager to logistical arrangements and arrangement of working tools (Vehicles, specific tools required for role) and engage with the relevant departments to action accordingly.
- Manage all systems related requirements (Share + SAGE300) , do the relevant checks and approvals on Share. Load changes on HR Premier (Share and HR premier match).
- Check that all compulsory policies are completed for new hires.
- Liaise with Line Manger to ensure the Onboarding plan was issued to the individual. Ensure the relevant check in sessions between Line manager and new employees happen.
- Collect & save Onboarding Plans (obtain from HRBP/ Line Manager) for new hires in a central folder on the HR share drive.
• Coordination of Internal movement of employees (Permanent employees, Temps, Fixed term contractors, Expats, Dan Affiliates, secondments):
- In liaison with HRBPs - Draft and extend all letters relating to promotions, any changes in current role (reporting lines, conditions etc.), Acting allowances, Secondments etc.
- Manage all documentation and systems related requirements related to the above.
- Assist the Subject Matter Expert and HRBPS in Expat moves (in and out of country) with any HR related processes.
- Administer Position Requisitions and Change forms for new position creations or people moves.
- Administer CTC modeler for changes in CTC for internal moves.
- Liaise with relevant HRBPs around secondments coming to end and action the related changes/ moves for the employees back to their initial departments accordingly.
- Liaise with HRBPs on Fixed term contracts coming to and end and if there is a need to extend and action accordingly.
• Be a single point of contact in coordination and actioning tasks relating to employees leaving the
company (including Permanent employees, Temps, Fixed term contractors, Expats, Dan Affiliates):
- Extend all exit documentation and exit packs to leavers and coordinate accordingly.
- Collation, submission and management of all exit documents to relevant providers and internal departments.
- In collaboration with the line manager, employee and relevant departments, assist in ensuring all tools of trade are handed in and processes are closed off.
- Manage exit interviews (for agreed levels/ roles) + save on the relevant system and place a copy in employee file
- Check on any money due by employee – study assistance, loans etc. and consolidate with payroll as a final check in the process.
- Manage systems related requirements (Share approvals, logging leaver Service Now calls) and liaise with payroll in this regard.
- Arrange Exit medicals
- Compile documents relating to incapacity due to ill health (sick leave records, reports etc.) send through to relevant service providers/ Temp Disability and manage and track accordingly.
• Policies
- Check that all compulsory policies are completed by new hires
- Be the 1st point of contact to empower people on policy provisions
- Update/ Maintain all policy changes on various platforms (Intranet, Share drives etc.)
• Job Descriptions
- Collaborate with HRBPs to update the HR share folder with all job descriptions on a regular basis. Audit gaps Job description per role in system and liaise with relevant HRBP for the department to update.
- Facilitate consistency in format of Job descriptions.
- Prepare end to end job evaluation packs for HRBPs and Line Managers for sign off. Upload in the relevant share folders and updated trackers.
• Employee Relations
- Liaise with HRBPs and Social Lead to upload Industrial Relations documentation (for example warnings, hearing outcomes etc.) in the relevant system and employee files.
• General
- Collaborate with HRBPs with regards to Data quality on SHARE.
- Be the 1st point of contact for the Danbaby programme regarding education on the programme as well as collection of Maternity leave contract + Parental Leave forms and submit to payroll.
- Draft confirmation of employment letters and adhoc letters
- Template maintenance (Letterheads, Contracts, New logos etc.)
- Assist families of deceased employees with claim documentation. Submit documentation to the Payroll Administrator for processing.
- Assist with adhoc requests such as UIF forms etc.
- Administer employees medical aid changes as requested.
- Liaise with HR Analyst on any system updates (for example ESS - changes needed (Line manager changes)
- Drafting announcements for joiners, movers, leavers and liaising with Line Manager to complete
and send out.
• compliance & process performance, working with Risk, Compliance & internal control – and internal and external audit.
• Sponsor IBS ES digitalization projects: identify & gain approval for tools and improvements, provide prioritisation requests.
• Drive process standardization, harmonization, automation, excellence & continuous improvement across the region. Monitor Monthly
• Push for Target model to Alternative model in SHARE
Payroll & Benefits Administration:
• Configuration of the payroll elements in the payroll system based on your area allocation
• Conduct payroll administrator role for Bryanston or Boksburg headcount based on allocation
• Checking the accuracy of input including new engagements, terminations and general payroll input into SAGE300 system.
• Check calculations of earnings, deductions and fringe benefits done.
• Final validation check of Time & Attendance import monthly for BBG site allocation
• Liaison with staff regarding all pay enquiries.
• Interact with Auditors (ideally Big-4)
• Ensure prompt maintenance of staff records at all times including archiving and filing via Azure platform – Digital emp files audited and ready for inspection.
• Information management with HR re staff appointments, terminations, remuneration, conditions of service and other relevant matters
• Ensure an effective PSG broker-employee relationship to facilitate joining of new members, withdrawals and other claims
• Perform audit checks every month to check for data consistency between the various systems ( SHARE, SAGE300/ESS & X-Time)
• Pull related reports for the business as required
• Pro-actively scope and manage Global projects and or the integration of SHARE, X-Time & SAGE300 payrolls into the Danone systems and processes as and when these arise
• Proactive Project Management of all project related actions and changes to ensure no adverse payroll actions or situations arise
HR Digitalization & Data Visualisation:
• Process optimization through identifying manual processes and automatizing them
• Providing accurate people analytics to HRBPs & activities
KEY REQUIREMENTS OF THE JOB
Qualification(s):
• Matric and a relevant 3 year HR Degree
Experience and Skills:
• At least 2 years in an HR administrative capacity, preferably in a FMCG environment
• Demonstrated HR system knowledge, such as SHARE, SAGE300
• Efficient in MS Office (PowerPoint, Word, Excel)
